A. Office Management
1. Oversees overall office operations, ensuring everything is within approved budget, compliance to processes and policies and be able to provide assistance to deployed manpower from Manila.
2. Ensure internal alignments are done (Chengdu- Manila) prior to any commitment outside SMRG

Job Description
A. Monitoring Office Operations
1. Expense Monitoring
-Ensure expenses are within budget and be able to alert if budget is nearly depleted
2. Contract / Document Monitoring
-Consolidated database of all contracts showing Start Date/ Expiry and General Idea/Summary of the Contract
-Ensure contract are within the approved period and trigger renewal/ termination and be able to provide recommendation (in coordination with relative departments)
-Ensure the implementation, consistency and safekeeping of standardized documentation, filing system and forms of SMRG Team through random auditing [including hard copy and e-file of IOMs, contracts, secured licenses, LOA and documents issued to external parties]
3. Contract Review / Summary
-Contract review and ensure important clause and provisions in the contract is highlighted to Management
-Be able to consult Legal and help explain to Management the implications
4. Policy Monitoring
-Ensure SMRG is operating within the SM China and SMDC policies
-Be able to alert should there be new policies for cascade
-Review & standardize policies in existing departments in partnership with the department leads/heads (align with existing policies/guidelines in SMDC/SM China)
5. Regular Feedback / Assessment
-Ensure that regular feedback is given to Management re: employees and events in the company and related to the project.
6. Implementation of Policies and Process Improvements
-Review & standardize processes in existing departments in partnership with the department leads/heads (align with existing policies/guidelines in SMDC/SM China)
7. OPEX/CAPEX Operations Budget
-Ensure accuracy of submitted budget for office operations and be able to justify to Management
8. HR and Admin Monitoring
-Involvement in HR/Admin deliverables
9. Operational Milestones
-Implementation of Office Activities

C. BAC Function
-Ensure timely completion of the bidding and award process of each consultant / supplier / contractor
-Ensure internal alignments are done (China-Manila) prior to any commitment outside SMRG
1. Engagement of Consultants (End to End Process)
-Ensure accuracy of details presented as BAC secretariat
-Anticipate questions from BAC and be able to recommend as well
-Raise inconsistencies with the submittals
-Ensure all biddings and evaluations are properly documented
2. Contract Review/ Summary
-Contract review and ensure important clause and provisions in the contract is highlighted to Management
-Be able to consult Legal and explain to Management the implications
D. Overall assistance to deployed manpower
1. Be able to provide assistance to deployed manpower from Manila, be able to give backgrounds, overviews, recommendations on the project and practices and help validate discussions with local team
E. Any task/s that may be assigned by the immediate superior from time to time
Strong communication and presentation skills
Must know how to speak in Chinese
Degree holder from a reputable school/university, MBA will be an advantage
