Provides administrative support to the department, such as but not limited to the following:
• Gathers significant data from various departments such as Sales, Engineering, Data Control, Billings and Collection, Customer Service, Accounting/Treasury, which may be used for the preparation of reports, or to be used as tools in analyzing project performance and support recommendations for improvements.
• Assists the PD Team in doing research on various project development related fields such as updated competitor scanning, construction trends and innovations, marketing and sales strategies.
• Keeps records of, and updates general information of projects assigned to the team, to answer various queries of buyer, sellers and other departments.
• Prepares/Supervises logistics for the group for sending of letters, vouchers and/or gift certificates and other pertinent documents to clients.
• Assist the Assistant Project Director in preparing NPV Computation of deviations from standard payment term and endorse to the Project Director for approval.
• Assists in monitoring project related regular reports from various departments such as sales and cancellation updates, ageing of accounts receivables, AR Turnover Report, Expired Unit Holdings, analyze their monthly performance and endorse findings and recommendations to the PD Team for appropriate action.
• Assists in preparing the annual OPEX and CAPEX budget to the PD Team they are assigned to and other finance/budget-related documents for the group such as request for check preparation, cash advance request, liquidation and reimbursements.
• Provides support in the PD team’s travel requirements, which includes, but not limited to fight and hotel bookings, visa application/renewal, passport renewal, Foreign Travel Approval, and per diem processing.
• Prepares the employee requirements for deployment to projects outside the country and headquarters.
• Coordinates with concerned departments/external offices for schedule of meetings, appointments and other matters; prepares agenda, records minutes and distributes copies to the attendees. Disseminates vital information to the involved parties via phone, memo, or e-mail.
• Files assigned project documents; assists the Assistant Project Director in gathering all necessary data for projects’ monthly report and final close-out.
